RAAS Property Group Pty Ltd (ABN 41 624 432 195) (we, us, our) is committed to handling personal information responsibly and in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
We operate two brands:
- Republik Property Partners - residential real estate and services
- Ras360 Property Solutions - residential real estate, management rights and accommodation brokerage and services
This Privacy Policy explains how we collect, use, store, disclose and protect personal information across all of our business activities — including our websites, email communications, marketing campaigns, identity verification processes, and use of technology platforms.
This Policy applies to all individuals who interact with us, including clients, property owners, buyers, tenants, referral partners, contractors, and subscribers.

2. Personal Information We Collect
2.1 General personal information
We may collect the following personal information:
- Full name, date of birth, and place of birth
- Residential or business address
- Email address and phone number
- Property details, ownership information, and transaction history
- Financial information relevant to a property transaction (e.g. settlement terms, purchase price)
- Government-issued identification details, including driver licence, passport, Medicare card, or other identity documents
- Biometric information, such as a facial image or short video, used for identity verification
- Any other information you choose to provide to us
2.2 Website and digital information
When you visit our websites, we may automatically collect non-personally identifiable information including:
- Browser type, version, and language
- Device type and operating system
- Pages visited, time on site, and referring website
- IP address and approximate location
We use cookies and similar tracking technologies on our websites. You may disable cookies through your browser settings, however some features of our websites may not function correctly if you do so.
2.3 Marketing and subscriber information
If you subscribe to our newsletters, register for property alerts, or submit an enquiry form, we collect your name, email address, phone number, and any other information you provide. This data is used to communicate with you in accordance with this Policy.
3. How We Collect Personal Information
We collect personal information in the following ways:
- Directly from you — through our websites, enquiry forms, open home registers, appraisal requests, phone calls, email, and in-person meetings
- Through our CRM platform — Eagle CRM, which stores client and contact records across both brands
- Through property listing portals — including realestate.com.au and domain.com.au, when you enquire about a listing
- Through identity verification — via AMLHUB, our authorised AML/CTF compliance provider, when we are required to verify your identity
- Through marketing platforms — including Meta (Facebook and Instagram) Lead Ads, and Google Ads, when you engage with our advertising
- From third parties — including referral partners, solicitors, accountants, or other agents, where relevant to a transaction
4. Why We Collect and Use Personal Information
We collect, use, and disclose personal information to:
- Provide and manage our real estate, management rights, and accommodation brokerage services
- Verify your identity and meet our obligations under the Anti-Money Laundering and Counter-Terrorism Financing Act 2006 (Cth) (AML/CTF Act)
- Communicate with you about your enquiry, property transaction, or account
- Send you property alerts, market updates, newsletters, and other marketing communications where you have consented or where we have a legitimate basis to do so
- Operate and improve our websites and digital platforms
- Run advertising campaigns and measure their effectiveness
- Comply with our legal and regulatory obligations
- Detect and prevent fraud, and maintain the security of our systems
- Respond to privacy complaints and access requests
5. Identity Verification and AML/CTF Compliance
RAAS Property Group has obligations under the AML/CTF Act that require us to verify the identity of certain clients before providing designated services, including property sales transactions.
We use AMLHUB (AML Hub Pty Ltd) as our outsourced AML/CTF compliance provider. AMLHUB may use electronic identity verification services, including the Australian Government's Document Verification Service (DVS), to verify your identity documents against records held by Commonwealth and State authorities.
As part of this process, we may collect:
- Your full name, date of birth, and residential address
- Government-issued identity document details
- A facial image or short video (biometric information) to confirm you are a real person and that your image matches your identity document
Biometric information is treated as sensitive information under the Privacy Act. It is collected only for identity verification and related compliance purposes, and only with your consent.
You may withdraw your consent to electronic identity verification at any time by contacting us. If you do, we may need to verify your identity by alternative means, or we may not be able to provide our services to you.

6. Email Marketing and Electronic Communications
6.1 How we use your contact details for marketing
We may use your name and contact details to send you information about our services, property listings, market updates, and other communications we believe will be of interest to you.
We send electronic marketing communications (including EDMs and SMS) in compliance with the Privacy Act 1988 (Cth) and, where applicable, the Spam Act 2003 (Cth). This means we only contact you:
- Where you have provided express consent (e.g. by subscribing to our newsletter or completing a lead form)
- Where we have an existing relationship with you and the communication is reasonably related to the services we have provided to you (inferred consent)
- Where otherwise permitted by law
6.2 Opting out
You can opt out of marketing communications at any time by:
- Clicking the unsubscribe link in any email we send you
- Replying STOP to any SMS from us
- Contacting us directly using the details in section 13
We will action all opt-out requests promptly. Opting out of marketing does not affect communications that are required for us to deliver services to you (e.g. transaction-related correspondence).
6.3 Owner and partner data
Where owner contact data is provided to us by referral partners (such as management rights operators) under a formal partnership agreement, that data is used only for the specific purpose for which it was shared — being the sale of properties within the relevant complex — and is never added to our general marketing database without the explicit consent of the individual concerned.
7. Technology Platforms and Third-Party Data
7.1 Technology platforms and processors
We use a number of third-party platforms and service providers that may process personal information on our behalf. These include:
- Eagle CRM — our primary client relationship management platform, used to store and manage contact records across Ras360 and Republik
- Email marketing platform — used to send EDM campaigns and manage subscriber lists
- Meta (Facebook and Instagram) — including the Meta Pixel and Lead Ads, for targeted advertising and lead capture
- Google Analytics and Google Ads — for website analytics and digital advertising
- AMLHUB — for AML/CTF identity verification (see section 5)
- Property.ai — for automated social media posting, connected to Eagle CRM
- Canva — for design and marketing content creation
All third-party processors are required to handle personal information in accordance with the APPs and are bound by appropriate data processing and confidentiality obligations. We do not sell your personal information to third parties.
7.2 Third-party data sources
We may receive personal information — including property ownership details and contact information — from third-party data providers and listing platforms, including:
- ID4me — property ownership and contact data used to support sales and partnership activities
- Cotality (formerly CoreLogic) — property data and ownership information
- realestate.com.au (REA Group) — listing enquiries and lead data
- Domain — listing enquiries and lead data
Information received from these sources is used solely to facilitate property transactions and related services. Where we receive personal information from a third party, we take reasonable steps to ensure it was collected lawfully and handle it in accordance with this Policy and the Australian Privacy Principles.
8. Use of Artificial Intelligence Tools
We use approved artificial intelligence (AI) tools internally to support our operations. These tools may be used for tasks including drafting marketing copy, summarising information, formatting data, and administrative processing.
We operate under an internal AI Use Policy that governs how personal information may be handled in the context of AI tools. Key safeguards include:
- Personal identifiers (such as names, email addresses, and phone numbers) are removed or masked before data is uploaded to AI tools where they are not essential to the task
- Only company-approved AI platforms are used for tasks involving client or contact data
- AI-generated content that will be shared externally is always reviewed and approved by a staff member before use
- Client communications are never sent without human review and verification
We do not use AI tools to make decisions that solely determine individual outcomes such as credit assessments, tenancy eligibility, or property pricing based on personal characteristics.
8.1 Automated decision-making transparency
The Privacy and Other Legislation Amendment Act 2024 (Cth) introduces automated decision-making (ADM) transparency obligations effective 10 December 2026. In accordance with these obligations, we disclose the following:
We use automated tools that involve personal information, including:
- Property.ai — which triggers automated social media posts based on property listing status changes recorded in Eagle CRM. This process involves property address data and agent information but does not make decisions that affect individuals’ rights or interests.
We do not use fully automated systems to make decisions that significantly affect individuals without human review. Any AI-assisted output that relates to an individual is reviewed and approved by a staff member before it is used or communicated externally.
We will update this section as our use of automated tools evolves and as further regulatory guidance is issued.
9. Disclosure of Personal Information
We may disclose your personal information to:
- Our employees, agents, and authorised representatives, on a need-to-know basis
- AMLHUB and its authorised sub-providers, for identity verification and AML/CTF compliance
- Commonwealth and State government authorities, through the DVS or as required by law
- Technology and service providers that help us operate our business (see section 7)
- Professional advisers, including lawyers, accountants, and auditors
- Counterparties to a property transaction (e.g. the buyer's or seller's solicitor), where relevant to completing a transaction
- Regulators, law enforcement agencies, or other parties where required or authorised by law
We do not sell your personal information.
10. Overseas Disclosure
Some of our service providers may store or process personal information outside Australia, including in the United States, European Union, or other jurisdictions. Where this occurs, we take reasonable steps to ensure your personal information is handled consistently with the APPs, including through contractual protections with those providers.
11. Data Security and Retention
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Our security measures include:
- Secure, access-controlled systems and platforms
- Encryption of data in transit and at rest where appropriate
- Role-based access controls, so staff can only access information relevant to their role
- Internal policies governing the use of AI tools and third-party platforms
We retain personal information for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Key retention periods include:
- AML/CTF customer due diligence records — 7 years from the end of the customer relationship, as required by the AML/CTF Act
- Transaction records — generally 7 years from the date of transaction
- Marketing and subscriber data — for as long as you remain an active subscriber, or until you opt out
When we no longer need your information, we securely delete or de-identify it.
12. Access and Correction
You have the right to request access to the personal information we hold about you, and to ask us to correct it if it is inaccurate, incomplete, or out of date.
To make a request, please contact us using the details in section 13. We will respond within a reasonable timeframe. In some circumstances, we may decline access as permitted by the Privacy Act — if so, we will tell you why.
We do not charge a fee for making an access request, although we may charge a reasonable fee to cover the cost of providing access if the request is complex.
13. Privacy Complaints
If you have a concern or complaint about how we have handled your personal information, please contact us in the first instance using the details in section 14. We will:
- Acknowledge your complaint promptly
- Investigate the matter
- Provide a written response within 30 days where practicable
If you are not satisfied with our response, or if we fail to respond within a reasonable time, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
